EXHIBITING AT WAA: THE COMMONS
The Commons is the hub of the conference that includes the Exhibit Hall and the Lounge. It is a dynamic, exciting environment pulsating with potential. The Commons is a space for presenters, artists, agents, managers, and other attendees to gather, connect, and discover. Exhibiting is a benefit for WAA members only. How much it costs to exhibit is based on your membership tier.
REGISTER FOR AN EXHIBIT OR MEETING SPACE
Exhibit and meeting spaces are available exclusively to members and must be purchased alongside at least one General Conference Pass or Artist Pass (if, eligible). Individual members and are not eligible to exhibit.
INSIDER ACCESS: Receive $100 off Early Bird registration as a returning exhibitor! We’re excited to introduce this special registration period in April, exclusively for previous exhibitors. Additionally, exhibit hall placement will occur in multiple phases, rewarding long-time and returning exhibitors for their continued commitment to WAA.
Your organization should have received an email on March 6 with details about its loyalty group. If you have questions about your exhibitor group, please reach out.
March 17 – 28: Sponsors at the Silver Level or Above
April 1 – April 11: 15+ Years Loyalty Group Exhibitor Placement
April 15 – 28: 1 – 14 Years Loyalty Group Exhibitor Placement
May 1 – Sell Out: First Time Exhibitors Placement
How this works:
Indicate your exhibit space location preferences when you register, based on available inventory after the previous phase of registration.
If your preferred spaces aren’t available, we’ll assign the best available location based on your exhibit type.
Each phase will be placed by lottery.
Exhibit space confirmation will be given prior to the opening of the next phase.
Miss registering during your assigned priority phase? You can still register anytime after your window opens and receive priority consideration in each subsequent round.
Premium placement will be considered for an additional fee, while available.
Once registration starts, exhibit space placements are made on weekly basis.

EXHIBITOR INFORMATION
This year’s decorator is Willwork Global Event Services.
Exhibitors will receive an email directly from Willwork Global Event Services with login credentials to access their exhibitor portal. Once exhibitors have their login credentials, they can access Willwork’s online portal.

MATERIALS HANDLING AND HAND-CARRYING
As the official General Service Contractor, Willwork will exclusively manage all logistical functions pertaining to the movement of freight for the duration of the event, including supervision, labor, receiving, and oversight of the loading dock. In this capacity, Willwork will be designated as the official and sole provider of Material Handling services for the event.
Materials handling is easy with Willwork! Willwork charges $2.92 per pound - 20# Minimum for materials handling. Exhibitors are encouraged to take advantage of this very reasonable rate for materials handling that will make receiving, storage, and delivery of exhibitor materials a breeze!
Hand-Carrying is permitted only if exhibitors can carry their materials onto the show floor in one trip, using no equipment, trolleys, carts, or assistance from another person.
Cartload Service provides service to exhibitors arriving in personally owned vehicles (POVs) and has small hand-carried items that need to be delivered to and from the dock/booth location. Please see the exhibitor service kits for more details.
Direct to Show Shipments are prohibited for this event. All shipments must be sent to the advanced warehouse prior to the event.

Exhibitors may order electricity through Encore, the exclusive provider for the JW Marriot LA Live Hotel. WAA has secured discounted rates from $132.00 to $227.00 Daily Equipment Rates for exhibitors based on specific needs. Please note: exhibitors will require login credentials to access the JW Marriot LA Live Hotel online portal, exhibitors will be able to complete this process once the exhibitor receives their exhibit space confirmation email.
